The mandate of the College of Veterinarians of British Columbia (CVBC) is to regulate the delivery of veterinary medicine in the province of British Columbia to ensure the public and animals are served by a competent and ethical profession. The CVBC is looking to hire a full-time coordinator to work in the Complaints and Investigations Department. Purpose: Under the supervision of the Deputy Registrar and General Counsel and working with other members of the Complaints and Investigations Department and the CVBC’s Investigation Committee, the Coordinator will provide wide-ranging administrative support to ensure that the CVBC carries out its complaints and investigations processes in an efficient and effective manner. From time to time, the Coordinator may be asked to provide support to other departments of the CVBC.
Duties and Responsibilities:
• Field telephone inquiries and provide information to the public and veterinarians about the complaints process as outlined in the Veterinarians Act and CVBC Bylaws.
• Draft correspondence utilizing templates.
• Send, file, and track various communications.
• Work closely with a team of paralegals to provide administrative support to the CVBC’s staff members, Investigation Committee, and inspectors.
• Track progression of outcomes for complaint/investigation files using Microsoft Dynamics and Excel.
• Manage the bring forward system for the Complaints and Investigations Department.
• Manage electronic file transfer and storage using Microsoft Dynamics and SharePoint.
• Manage digitalization of paper files and documents.
• Use Adobe Acrobat Pro to format and combine multiple documents, and redact documents.
• Assist with document formatting and file organization for discipline hearings.
• Schedule and organize in-person, Zoom, or Microsoft Teams meetings.
• Provide other administrative support as required.
Qualifications and Skills:
• Minimum of 2 years of work experience in administrative support or similar roles.
• Experience as a legal administrative assistant in professional regulation or litigation is an asset.
• Post secondary training in administrative support. Legal Administrative Assistant Certificate is an asset.
• Excellent oral and written communication skills.
• Strong attention to detail and organizational skills.
• Experience dealing with confidential, personal, or sensitive information.
• Strong computer skills and experience with programs like Microsoft Word, Excel, Outlook, SharePoint, Dynamics and Adobe Acrobat Pro.
• Strong ability to multi-task and prioritize tasks.
• Ability to work under time constraints both independently and in a team.
Salary: $50,000-$60,000
